Introduction to Entity Management
Entities play a crucial role in governance, risk, and compliance (GRC). An entity can be a person, place, object, or system tracked within a GRC platform to manage risks, track control compliance, and monitor related activities. In BoardX, entities are central to the system's functionality, enabling organizations to monitor and manage compliance and risk effectively.
Automatic Entity Conversion
A key feature of BoardX is the automatic conversion of added users into entities. Users are automatically converted to entities When they are added to the system, eliminating the need for manual entry. The entity owner is the user themselves, which simplifies management and accountability. The entity classes of users are Regular Users or Employees, depending on the user type.
Mapping: Entities are mapped to specific compliance objectives and risk statements. This mapping is crucial as it creates instances of risk and control pertinent to each entity.
Associations: While an entity can be associated with multiple entity groups, it can belong to only one entity class. This distinction helps in categorizing entities more systematically for reporting and management purposes.
Mandatory Nature of Entities
Entities are mandatory for associating risks and controls within the system. This mandatory association ensures that every risk and control managed within BoardX is linked to a specific entity, enhancing the clarity and effectiveness of the GRC activities.
How to add an entity?
Before adding an entity in BoardX, ensure that you have already created the appropriate entity class for the new entity.
Access the GRC List: Navigate to the left-hand navigation bar and click on 'GRC List'.
Open All Entities: Go to 'Scoping' and select 'All Entities'. This will display a list of existing entities in your system, typically including users and Authority Framework Roles.
Initiate Entity Creation: Click the 'New' button located at the top right of the screen to open the 'Create New Entity Form'.
Fill in the Entity Details:
Entity Name: Enter a name that clearly identifies the entity.
Entity Owner: Select a regular user from your system to manage this entity.
Entity Class: Choose the previously created entity class to which this entity will belong.
Description: Briefly describe the entity’s role or purpose within your organization.
Save the New Entity: After entering all the details, click 'Save' to add the entity to your BoardX system.
