Document State Progression: Automation vs. Manual

In BoardX, each document must transition through four specific states before publication. These states are:

  1. Draft

  2. Review

  3. Approval

  4. Publish

You have the option to advance the document through these states either automatically or manually.

Choosing Automatic or Manual Progression

This setting is available on the detail page of any document you have uploaded to BoardX. By selecting your preferred method of progression, you can tailor the document workflow to better fit your organisational needs.

Automatic Progression (Default Setting): When this mode is selected, the document automatically moves to the next state as soon as all assigned tasks are completed by the assignees.

Example: Suppose a Policy admin assigns all board members as reviewers for a document that is currently in the Review state. When the last reviewer completes their review tasks, the document automatically progresses to the Approval state, prompting the approvers to start their tasks.

Manual Progression: If you choose manual progression, the document will remain in its current state even after all assignees have completed their tasks. It will only move to the next state when the policy owner manually initiates the progression.

Example: Even when all reviewers have completed their tasks, the document remains in the Review state until the policy owner manually requests approval, moving it to the next state.
