BoardX Document Revision Process

The document revision process in BoardX is designed to ensure your documents are always up to date. This feature enables you to schedule revisions, maintain published versions during revisions, and manage notifications effectively. From setting revision dates and frequencies to sending reminders for overdue documents, BoardX streamlines every step to enhance compliance and document integrity.


Setting Up the Revision Process:

  1. Set the Revision Date: Navigate to the Details page of the document and specify the next revision date. (Must be a future date)

  2. Review Frequency: Determine how frequently the document should be revised (e.g., annually, semi-annually).

  3. Notice Period: Choose how many days before the revision date BoardX should notify the document owner via email.


During the Revision Period:

  • Automatic Rollback: On the next revision date, the document will automatically revert to a draft state and be marked as "Overdue for Revision".

  • Maintain Published Version: If needed, you can opt to keep the previous version published on the Employee Portal by selecting the option "Maintain the published version on Employee Portal".


Completing the Revision:

  • Republishing: Once the revision is completed and the document is republished, the next review date will be set based on the new publish date and the review frequency. The "Overdue for Revision" label will be removed.

    Example: If the review frequency is set to annually with a publish date of April 9th, 2025, the next review date will automatically be set to April 9th, 2026

Additional Features:

  • Dashboard Updates: The revision date is now visible as a new column on the Dashboard.

  • Filtering: Filter documents that are "Overdue for Revision".

  • Send Reminders: To remind the document owner of an overdue revision, select the document, then click on "Action" and "Send Reminder".
