How to Complete a Policy Approval Task

This article explains how to find, review, and approve a policy that has been assigned to you as an approval task. Follow the steps below to complete the process.

Step 1: Find Your Approval Task

There are two ways to locate your policy approval task.

Option A – Via Email When a policy approval task is created and assigned to you, you will automatically receive a notification email. Open the email and click the link included to be taken directly to your task.

Option B – Via the Task Centre If you cannot locate the notification email, log in to the system and navigate to the Task Centre. This is where all of your outstanding approval tasks are listed. You can use this view at any time to check for tasks that are waiting to be actioned.


Step 2: Open the Task

Once you have located the relevant approval task β€” either through your email link or the Task Centre β€” click on the task title to open it.


Step 3: View and Review the Policy

On the task page, click "View Policy" to open the policy document. From here you can read through the policy in full.

If you would like to suggest changes or provide feedback, you can do the following:

  • Leave comments on specific sections of the policy text

  • Suggest edits or amendments directly within the document

  • Notify the policy owner of your feedback so they can review and either action your changes or confirm that the policy is correct as written

You may go back and forth with the policy owner as many times as needed until you are satisfied with the final version of the policy.


Step 4: Approve and Complete the Task

Once you are happy with the policy as presented, return to the task page and click the "Complete" button. This confirms your approval and marks the task as done. The task will no longer appear in your outstanding task list.


Frequently Asked Questions

What if I cannot find my notification email? Check your junk or spam folder first. If the email is not there, log in to the system and access your tasks directly through the Task Centre.

What if I disagree with the policy content? Use the comments and suggested changes features to raise your concerns with the policy owner. Do not click "Complete" until you are satisfied with the policy, as this action confirms your approval.
