There are many ways in BoardX to add documents, such as a record from a meeting agenda or minutes, a document from a governance channel, or a document from a task. You can also directly upload a copy to the document centre and set a visibility option for file access to the correct people in your organisation.
Creating a New Folder
Select Document Centre on the main menu on the left side of your screen.
Select the orange rectangle New.
Select New folder.
Pop-up window New Folder should appear with the following:
New folders Name,
Description,
Visibility
Everyone
Limited.
Selecting Visibility to Everyone
Step 1: Fill in the Name of the folder (required)
Step 2: Fill in the Description of the folder (optional)
Step 3: Select Everyone
Step 4: Select Save
Selecting visibility to Limited users.
Step 1: Fill in the Name of the folder (required)
Step 2: Fill in the Description of the folder (optional)
Step 3: Select Limited
Step 4: Select Save.
Selecting people to have access to the folder
Step 1: Add Committee to File - start typing to find committees,
Step 2: People who have access to the folder from Committee you have selected,
Step 3: Add Individuals to File - start typing to find users (when added, these individuals can be removed by selecting "X." Also, if an individual is already added when searching for that individual, that individual will be stroked out.
Step 4: Select Save.
Uploading a File/Files to your Folder:
There are three options you can choose to upload one or more files:
File upload
Drop files here or click upload.
Drop files here.
Select the folder you created
Option 1: File upload
Click on the file name and select "File upload."
Step 1: Click on "Select File" and choose the file of your choice,
Step 2: Type "Name" of the File,
Step 3: Type "Description" of the file
Step 4: Choose Visibility
Step 5: Select "Save"
Option 2:Click to upload
Step 1: Click on the rectangle. Drop the files here or click to Upload
Step 2: Select one or multiple files in the local files selector.
Step 3: Click Open or Upload.
Option 3: Drag and Drop your file(s)
Step 1: Select the file(s) in your local device
Step 2: Drop it/ them in the rectangle "Drop files or click to upload" or the space in your folder.
Notes:
When you are uploading one file, you will need to fill out the title and description and edit the visibility of the file.
