Managing Document Categories and Subcategories

Organising your policies and contracts into categories and subcategories helps streamline document management, making it easier to classify, search, and manage them effectively. Follow these steps to set up and manage categories in the Policy and Contract Workspace.


Steps to Create and Manage Categories and Subcategories:

  1. Go to Settings:

    • On the left-hand navigation bar, click on Settings.

  2. Scroll Down to Workspace Settings:

    • Under the settings menu, find and click on Policies and Contracts Workspace Settings.

  3. Choose Document Type:

    • Select the type of documents for which you want to create categories and subcategories.

  4. Create a New Category:

    • Click on the +Category button.

    • Enter the Policy Category Name in the provided field.

    • Optionally, you can type in a Category Description to provide more details about the category.

  5. Create a Subcategory:

    • Click on the +Sub-category button.

    • Input the Sub-category Name.

    • Choose the Parent Category from the dropdown list.

    • Optionally, add a Subcategory Description.

  6. Editing or Deleting Categories and Subcategories:

    • To edit or delete existing categories or subcategories, click the three green dots next to the category or subcategory name.

    • Choose either Edit or Delete from the options.

  7. Repeat for Other Document Types:

    • You can follow the same process to create, edit, or delete categories and subcategories for other document types.



Best Practices for Document Categories

  • Keep Categories Intuitive: Use descriptive names for categories and subcategories to make it easy for users to locate and classify documents.

  • Avoid Overlapping Categories: Ensure each category and subcategory has a unique purpose to minimise confusion.

  • Regularly Review and Update: Periodically audit categories to remove redundancies and keep the structure relevant to organisational needs.
