How to Add Different Types of Users in BoardX
Managing user roles effectively in BoardX is crucial for maintaining the proper distribution of tasks and responsibilities within your organization. This guide explains how to add different types of users and outlines the permissions and tasks that can be assigned to each user type.
Adding Regular Users:
Navigate to the People Directory:
From the left-hand navigation bar, select People.
Add a Regular User:
Click on Add Regular User.
Fill out the user's information:
Title (optional)
First Name
Last Name
Email
Location (optional)
Department (optional)
Assign a role under Account Role (Member, Observer, or Administrator).
Optionally, assign the user to various committees by checking the relevant boxes.
Click Submit to create the user account.
Capabilities of Regular Users in Polices and Contracts Workspace:
Can be assigned to contribution, review, and approval tasks.
Can be assigned as policy owners
Permissions for different types of Regular Users in Policies and Contracts Workspace:
System Admin/Owner: Can view and edit all documents and tasks
Members: Can view all documents and complete their policy tasks. If they are assigned document owner, they can edit everything on that document
Observer: Can view all documents and dashboard.
Adding Employee Users:
Navigate to the People Directory:
Use the left-hand navigation bar and select People.
Add an Employee:
Click on Add Employee.
Complete the user's information similarly:
Title (optional)
First Name
Last Name
Email
Location (optional)
Department (optional)
Click Submit to create the employee account.
Capabilities of Employee Users in Policies and Contracts Workspace:
Can only be assigned to attestation tasks.
Can access policies, attest to policies, receive tasks
Bulk Adding Employees via CSV Upload:
Prepare the CSV File:
Download the template by clicking on Employees .csv upload under the People menu
Select Download template.
Fill the template with user details according to the format provided in the CSV. Locations and Department can be left blank for upload purposes.
Upload the CSV File:
Return to the People menu and select Employees .csv upload.
Drag and drop your filled .csv file into the upload area or browse to select the file.
Click Submit to upload the file and create multiple user accounts simultaneously saving you time.
Note: The maximum file size for upload is 3 Mb. Please make sure that your CSV file meets this requirement to avoid upload errors.
