Assigning attestation tasks is crucial for ensuring that relevant stakeholders acknowledge and understand key documents, such as policies or contracts. This guide will walk you through the steps to assign attestation tasks within BoardX, allowing individuals or groups to formally recognize their comprehension and agreement of the document contents.
Step-by-Step Guide:
1. Access Attestation Task Assignment:
Navigate to the specific policy or document where attestation is required.
Click on the Detail tab.
Scroll down to Attestation setup
Click on the Pencil sign (edit) next to Attesters
2. Add Attesters:
Add Group: To assign a group of users, begin typing the group name in the “Add Group” field and select the appropriate group from the suggestions that appear.
Add Individuals: To assign individual users, start typing the user's name in the “Add Individuals” field and select from the listed suggestions.
Assigned to: This section will display the names of groups or individuals who have been selected to receive the attestation task.
Notes: Whenever a new entity is added to a certain entity group, all attestation tasks assigned to the group will be assigned to this newly added entity.
3. Specify Task Details:
Days to Complete: Set the number of days within which the attesters must complete the attestation.
First Attestation: Select the start date for the attestation using the date picker.
Frequency: Choose how often the attestation should be repeated, such as 1 year, 2 years and 3 years or select “None” for a one-time attestation.
4. Review and Confirm Agreement:
Below the task details, you will find an “Agreement” section where you can review the standard attestation text. This text typically includes a declaration that the attestor is familiar with the document, understands its contents, and agrees to abide by its terms.
Task Description: Optionally, you can add a custom task description or instructions in the provided text editor.
5. Save Attestation Task:
After reviewing all details and making sure the correct entities are assigned, click the “Next” button to save the attestation task. This action will schedule the task for the selected date and notify assigned users.
What do attestations tasks look like from the employee portal?
Employees who are assigned to the attestations tasks will receive an email notification when the task is triggered. They will log on to BoardX, click on their task centre. And see the list of their own tasks.
When they click on the task, they must view the policy and the agreement. Then, complete or reject their task. They also have the ability to leave a comment on the task.
